3.1 Duties of the main user
General tasks
• Notify the PAR systems of the main user's contact information. Reporting and updating master user information is done using the form: https://goo.gl/forms/kk27wroQKuzTLY2K2
• Fill out the Register statement in accordance with the Personal Data Act or, at your discretion, the Data Protection Statement and inform all users of their location. More information: https://tietosuoja.fi/henkilotieten-kasittelje
• Record the organization's information and ensure that it is up-to-date.
The main user acts as the contact person for the organization and the PAR systems, to whom a separate PAR mail is also sent if necessary in matters related to the program.
Employee records
• Register employees in the system and give them usernames and passwords
• Define each user's personal access rights to use the system (read and change rights, supervisor rights, extended rights)
• If necessary, permanently or temporarily change access rights or passwords.
• Make sure that the usernames of people who have stopped working are deleted.
• Keep employees' status up to date, e.g. regarding maternity leave, leave of absence or other changes in the employment relationship.
• Inform new users about privacy practices and user rights, obligations and responsibilities.
After the initial phase, employee registrations are made whenever there are changes in personal data or employment relationships, or if it is necessary to change the employee's user rights. The information of the organization and employees should be checked before PARkki reporting.
Technical support
• Advice on who to contact in problem situations, when it comes to issues related to the network, technical problems or local solutions. Usually, the contact person in these situations is our own IT support or PAR user support.
• Take care of PAR version updates so that the user always has the latest PAR version available. Remote support for the system update is also available from the PAR team.
• Give the Reading List to the customer (or guardian of a minor) when requested. A reading list is logged into the PAR system, from which the customer can see who and when his data has been viewed and who has made changes. If necessary, instructions are provided by the PAR team.
• Take care of regularly copying data to external memory. The system automatically makes backups for a period of 14 days, but regular copying to external memory is recommended to ensure the preservation of data, e.g. in case of a fire, water damage or a network disk failure due to other reasons.
When the PAR program has been opened and all the above-mentioned procedures have been completed, each user can log in to the system from the PAR login.vbs file located in the Interface folder. During the first login, the PAR shortcut appears on the employee's desktop for subsequent logins. The main user is responsible for ensuring that users always have the latest PAR in use.
