3.2.2 Registration of employees
Registration of employees is done by selecting the Employees tab from the Organization page.
User profiles are always created and edited in the Employees tab. From this page, you can also see the usernames of the employees.
The Add button opens a blank employee page where you can enter the new employee's information. With the Edit button, you can check and change the data of an existing employee. At the end of the employment relationship, you can delete the employee from the system with the Delete button or, alternatively, select "no active rights" from the access rights, in which case the user ID can still be activated later.
The main user is responsible for the up-to-dateness and changes of employee data, employees only have viewing rights to their own data.
Creating a new employee
The employee is always registered on the search (PARent) or workshops (PARTy) side. If one employee wants IDs for both sides, IDs for both sides must be made for him.
All mandatory information must be entered for the new employee and access rights defined (3.3. Access rights). During the first recording, the program announces the employee's personal user ID and gives the initial password 'CHANGE Password' (case is important!).
Noteworthy fields
Mandatory/recommended fields are darkened and underlined. We present a few points that raised questions:
- Organizations (workshops) using the unit code must mark the employee with a unit, if unit-specific access rights are used.
- Work experience from work with young people is recorded in years and, if desired, in months in numerical form.
- Individual work years (HTV) must be recorded for each employee. HTV means the work done during the reporting calendar year as a decimal number 0.00-1.00 (the whole year as a full-time employee is 1 HTV).
- Tasks and the percentage of work assigned to them are recorded in relation to the tasks, the sum of which is always 100%. If the tasks are individual and work coach, the work shares recorded in them can be, for example, 30% and 70% = 100%. 100% is always equal to the recorded amount of HTV.
- The purpose of recording the status is to help detect breaks in the employment relationship. Only breaks in the employment relationship and their duration need to be marked.
- An employee who does not want to be included in the PARkki annual statistics can be marked with the option "Employee is not included in the statistics".
Passwords
Each employee takes care of his own password. The password must be changed the first time you log in and at regular intervals thereafter! The administrator can give users a new password to replace a forgotten one by logging into the program and going to the Employees tab via the Organization button, where he can select the employee for whom he wants to change the password. The temporary password is given with the Change password button.
The root user's password can only be changed by another root user. If you have problems with logging in, contact PAR user support.
