6.7 Site diary

The worksite diary is mainly filled out and used via the Worksite diary button on the front page in a calendar view, where trainees' working days are pre-filled based on work time plans. The completed worksite diary entries will also appear on each customer's customer card, through which attendance and absence information can also be added, changed or deleted. If you use the site diary with a customer card, remember to also select the link to the section to which the entry applies. The actual working time of the working day is recorded in the work site diary. It can record daily work tasks, individual coaching in hours, notes and hours of presence/absence and reason for absence. The comments can be observations made by the coach about the client's work or the flow of the day. Based on these entries, various reports will be created in the future for the customer and those who subscribe to the coaching session. Various reports based on presence and absence entries, such as TT3 printouts and attendance reports, do not work if the site diary is not used.
User manual for the home site diary
Start using the site diary by pressing the Tm.pvkirja button on the front page. The site diary has 5 sections:
Basic buttons
- Os.report: Shows all reports from the PAR system
- Save: Saves the changes made to the recording month
- Home: Go back to the home page
Filtering options
With the filtering options, you can determine from which period and which customers are displayed on the lists. Note that changing the filtering will discard all changes.
- Month selection: Select the desired target month from the list. By default, the current month is selected.
- Year selection: Select the desired target year from the list. By default, the current year is selected.
- Filter customers: You can filter customers to your own customers, customers of the selected unit or select all customers. The selection options depend on access rights, which may be restricted by the administrator.
Date picker
The date selector shows how many site diary entries have been made on any given day. Weekdays and weekends are interpreted as free and do not need to be filled in separately. Days of the week can be preceded by an asterisk (*) if the date is a public holiday or weekend and future entries have a greater than (>) sign. Diary entries can be filled in for two months in advance. You can easily compare different days by holding down the mouse button and at the same time dragging the mouse cursor along the list or scrolling through the list with the arrow keys.
Customer selector
Customers who have a period valid on the selected day and whose membership is part of the customer filter are displayed here. In addition to the customer's name, the list shows the status of the site diary, the form of the period's procedure and the working time. The premises of the site diary are:
- MISSING: The site diary entry is completely missing for this day
- DONE: The site diary entries have been made and saved
- EXECUTIVE: The site diary entry has been created automatically based on the working time plan, but it still needs to be edited and saved. You can leave the entry in planning mode by selecting "Entry is in progress"
- OFF: The day is interpreted as a day off and there is no need to worry about it, unless the customer was at work then. In that case, the entry is just edited as needed. Please note that the working time plan can also cancel weekend leave.
- EDIT: The customer's site diary entry has been edited and the changes made must be saved to bring the entry to the READY state
- FUTURE: The site diary entry is not yet current, but you can fill in the information in advance.
Please note that if the customer has several simultaneous periods valid on the same date, the same person will appear in the list several times. The aim is to show this difference in the list with the Action form, which is attached to the customer. In other cases, the customer appears in the list only once.
Site diary entries of the selected customer
Mark when the customer has started and ended working hours, and how the customer's working day has gone. Working time entries are mandatory if the Attendance/Absence entry is something other than "Free", "Annual leave" or "Holiday".
If necessary, you can make several entries for one day, for example, if the customer has fallen ill in the middle of the working day. Select and add entries for the day from the Entry number options at the top. The text "Link to episode" tells you which episode the site diary entry is attached to. The binding is created automatically, but it can also be changed if necessary.
In the top bar of the site diary, you can see the number of unfinished entries in relation to completed entries per month, for example: AUGUST 2019 Completed 53/113. Remember to save the changes before filtering again or exiting the form.
The site diary is pre-filled on the basis of working time plans, which are recorded on a customer-specific basis (see 6.6. Working time). You can still enter working hours with a customer card, in which case the entry is always "DONE" or via the actual site diary tool.
